Information on data protection for membership in the alumni network in accordance with Article 13 GDPR
The protection of your personal data is important to us, which is why we would like to inform you here about the purpose for which the university collects, stores or forwards your data. You can also see from the information which rights you are entitled to with regard to your personal data.

2. Categories of data, purpose and legal basis of data processing
2.1 Data processing for alumni
The Alumni and Career Service office at Ulm University is a service, communication, advice and information platform for all students, alumni and former employees.
Our free offerings include:
- The sending of an electronic newsletter with information on the development of Ulm University and interesting news from the region,
- Invitations to events at Ulm University,
- the use of the offers of the Career Service - for graduates also free of charge up to two years after the end of their studies after entry in our alumni database,
- Participation in the organization of annual reunions for alumni,
- Assistance in founding alumni clubs in Germany and worldwide
Data categories:
Your personal data (title, surname, first name, date of birth, e-mail address and private address) are required to create an alumni account, as we check whether you are actually studying/working or have studied/worked at Ulm University. The other information is voluntary information for the transfer of topic-related information.
Legal basis: Consent in accordance with Article 6 (1) (a) GDPR
2.2 Data processing for the newsletter
As part of our information offering, we provide electronic information. This includes information about prizes and awards, new research results, news from the Ulm University and event information. You will receive the information based on the declaration of consent you have given us. We use the software provider Sendinblue to send our electronic information.

• Language

We use the specialized software provider SendinBlue to send our electronic information.

3. Storage of your data
We process your data for as long as is necessary to achieve the purposes described above. The purpose is usually achieved when you end the alumni membership. Your data will be deleted from our system after receipt of a written cancellation.
With the termination of your membership, your data from the newsletter distribution list will be deleted at the same time as your data from the Identity Management (IDM) and your alumni e-mail address.
4. Recipients of your data
In order to register your registration and membership with Alumni and to send the online newsletter, your data will be processed by the authorized persons of the following offices:
• Alumni office for receiving the newsletter and other information that may be of interest to you, such as event information, subject-specific surveys
• Communication and information center (KIZ) for the creation of a digital identity in a central identity management (IDM) in order to centrally manage the creation and maintenance of accounts.
5. Data processing by a third party for the newsletter sending
We transmit the personal data "Title, first name, surname, email address and language" to our service provider Sendinblue GmbH, Köpenicker Straße 126, 10179 Berlin in order to ensure that the information is sent to you properly. Sendinblue is a service with which the online newsletter dispatch can be organized and analyzed (number of openings and clicks). All necessary technical and organizational security measures to protect your personal data from misuse are taken by us and by Sendinblue on our behalf.
6. Your rights as a data subject
You have the following rights to protect your personal data:
• to receive information about the personal data concerning you (Article 15 GDPR),
• to have incorrect data corrected (Art. 16 GDPR),
• to request the deletion or restriction of the processing of your personal data under certain conditions (Art. 17, 18 GDPR),
• object to the processing of your data (Art. 21 GDPR),
• to have your data transferred to other bodies specified by you (Art. 20 GDPR). A separate consent is required for this.
You also have the right to contact the competent supervisory authority for data protection if you believe that your personal data is being processed unlawfully. The supervisory authority responsible for us is the State Commissioner for Data Protection and Freedom of Information for Baden-Württemberg.
