Application and Admission (APP)
The project is nearing completion. We have converted the majority of the application and admission procedures to the new campus portal. Applications submitted via uni-assist are now also being fully imported into the new campus portal. This should give the APP team room to support proposals for dealing with the upcoming challenges (e.g. falling numbers of prospective students and applicants) from a technical and procedural perspective.
Student Management (STU)
After the successful migration to the new campus portal, our work has not diminished. Information and error messages from students have shown us that individual processes needed to be adapted. We will be consolidating the operating concept and technical documentation in the coming months. In addition, we want to migrate the student records to new document management software so that students have the option of requesting and retrieving their certificates directly and digitally in the campus portal.
Migration of examination and course management to the new campus portal (EXA)
We are working intensively on the preparation of this project (start: January 2025, implementation: autumn 2028). The contract with HIS eG has been signed. We have started to recruit the additional staff required for this project. The EXA competence team, consisting of study programme coordinators from all faculties, has started to map out the processes in course management. This is taking place in close coordination with the Student Administration Office, which will successively map and analyse the processes in examination management over the coming weeks.
Research and Doctoral Candidate Management (RES, DOC)
The configuration work for research and doctoral management is very extensive and is continuing. We are still working on the migration of the data available in the doctoral secretariats to the campus portal. We are preparing the test environment and the test phases for research and doctoral management in the new campus portal. After carefully weighing up the pros and cons, we have decided to postpone the go-live date for the first milestone "project" to mid-2025. The advantage of this is that we will be able to use important process-supporting functions in research management right from the start, which HIS eG will not make available until the end of the year with the 2024.12 release.
Business Intelligence (BI)
In the winter semester 2024/2025, we will compile student and doctoral student statistics in the new campus portal for the first time. In future, we want to stop providing student and examination statistics in the SAP reporting portal and offer these analyses in the campus portal. The working groups that we have formed to define the reporting requirements in the areas of doctoral students, research, students and examinations have started their work.
Infrastructure (system, interfaces)
We moved the HISinOne system landscape to a new virtualisation infrastructure and optimised the system landscape as a whole. The changeover was not entirely smooth. Some of you will have noticed a delay in system response times. After intensive troubleshooting, we were able to solve this and other problems together with HIS eG. We are working intensively on the migration of the student records to the new document management system in order to further improve the service for students in the campus portal.
