Around 90% of our application and admission procedures have now been transferred to the new campus portal. This will give the project team time in the coming year to review and improve operational processes. Together with the representatives of the faculties, the team wants to improve communication and coordination for admission procedures for the Master's degree programmes in the campus portal. From April 2025, the new interface to uni-assist will facilitate the admission process for international students.
Our biggest challenge and our greatest success was the migration of student administration to our new campus portal in May 2024. You may remember that the portal was closed at the end of April/beginning of May. The changeover went according to plan. Minor problems were gradually resolved over the following months. Colleagues in the Student Administration Office are very satisfied with the new system. Students also see the new portal as a step forward. The STU project team therefore completed the project on time at the end of this year.
Next year will see the start of our most complex migration project: the move of our examination and course management system to the new campus portal. The project team is almost complete. It will meet in a kick-off workshop in January. The EXA competence team of the faculties has completed the recording of the current processes in course management. In the coming year, it will use this documentation to define the future processes for the new campus portal.
Safe the Date: On 26 February 2025, 3 p.m., we will present the project (steps, duration, etc.) at an internal university event. We will invite stakeholders from all institutions affected by the project to attend.
Work on going live with the application for acceptance as a doctoral candidate (doctoral candidate management) and the third-party funding notification (research management) in the campus portal is progressing. Test phases are already underway for both products. Unfortunately, staff shortages have caused delays. The forms in the campus portal are scheduled to go live in 2025.
The project team for setting up business intelligence in the new campus portal was very successful. In December 2024, we delivered the official student statistics to the State Statistical Office for the first time using the new campus portal. The official examination statistics will follow in January 2025. Work on moving the university's internal academic reporting system (student statistics) from the SAP reporting portal to the campus portal is on schedule and will be completed in 2025.
2024 was a challenging and successful year for the infrastructure team that manages the HISinOne system and interfaces. The system landscape was optimised and moved to a new virtualisation infrastructure. In order to further advance digitalisation and increase the range of functions for users, intensive work was carried out on connecting external systems to the campus portal. Preparations are underway to connect the digital document management system for applicant, student and examination files. The advantages for students include not having to submit documents multiple times and being able to retrieve certificates digitally.
For 2025, the team has set itself the goal of improving the performance of the new campus management system, which leaves something to be desired in some places and at certain times. A monitoring system is currently being set up to better recognise and rectify the problems.
