We would like to inform you about our activities in the past quarter and our plans for the coming months.

Our most recent project (EXA4UUlm) to convert our examination and course management system to the new campus portal got off to a successful start. We presented the project within the university at our information event in February. Those who missed the event can find out more here. At the end of March, the project team began preparing the migration of examination data from the old system. An important milestone in the coming months will be workshops over several days to round off the technical planning. On this basis, the team will be able to start configuring the target processes in the new system in the fall.

A major work package for all teams in the first quarter was preparing the version change of the HISinOne software to the latest release. We would like to thank all key users who took part in the functional test and checked in the test environment that the processes supported by the system also work with the new version. The version change required another portal lockdown at the beginning of April. This enabled us to ensure that no data was lost if we had to reset the database to an older state due to an unexpected error. Once again, we would like to thank all users of the system for their understanding. We regret the inconvenience this has caused in some cases.

The project team for the development of business intelligence in the new campus portal reports further successes: in January, it created the official examination statistics in the new campus portal with HISinOne for the first time. In addition, since the beginning of the year, the QBR staff unit and Financial Controlling have been using date-based key figure queries on students. In the coming months, analysis options for other defined user groups (e.g. study commissions) and subject areas will be made available step by step. 
However, the complete replacement of student statistics from the SAP reporting portal with HISinOne BI had to be postponed due to delays in securing the necessary data protection and in filling an additional project position for academic controlling.

The Application and Study Place Allocation and Infrastructure teams are working intensively on optimising the system and improving coordination, communication and agreement with each other and with the faculties' admissions and examination boards as well as the degree programme coordinators. 

Unfortunately, the work to go live with the application for acceptance as a doctoral candidate (doctoral candidate management) and to go live with the ‘Projects’ milestone (research management) in the campus portal has not progressed as quickly as planned. The first partial go-live will be possible in autumn 2025 at the earliest. Together with the CIO, the Executive Board (Präsidium) and the Steering Committee, we are working on plans to meet this deadline.
